This page sets out how Roam in the Park collects, uses and looks after your personal information. We’ve kept the language as plain as we can — but it is a legal document, so a few sections are necessarily a bit more formal.

2. What information we collect

We may collect:

  • Information you give us by email or phone when you get in touch directly.
  • Information from third-party review platforms (Google, Facebook, TripAdvisor) where reviews you’ve posted publicly are pulled into our Reviews page via an embedded widget.
  • Information collected automatically when you visit the site — IP address, browser and device type, pages viewed, referring site, approximate location.

We do not collect financial information through the website. Payments are taken in person at the cafe by our card payment provider.

3. How we use your information

We use the information we collect:

  • To respond to your enquiries
  • To organise a service you’ve asked for (e.g. confirming a group visit, replying to a press request, processing a careers enquiry)
  • To improve the website and understand how it’s used
  • To send you marketing communications, but only if you’ve signed up to receive them
  • To comply with our legal obligations

4. Lawful basis for processing

Under UK GDPR, the lawful bases we rely on are:

  • Consent — when you sign up to a newsletter or accept non-essential cookies. You can withdraw consent at any time.
  • Legitimate interests — when you contact us and we reply, and when we use analytics to understand and improve how the site performs. We’ve assessed that our use of your information for these purposes does not override your rights.

5. Who we share your information with

We share your information only with the people and services we need to in order to run the website and respond to you. This includes:

  • Our website hosting provider Aimero Design Agency Ltd
  • Our email provider Google Mail
  • Our analytics provider Google Analytics

We do not sell your personal information.

6. How long we keep your information

  • Contact form messages: up to 24 months after our last contact with you, unless we need to keep them longer for legal reasons.
  • Newsletter sign-ups: until you unsubscribe.
  • Analytics data: retained per the provider’s settings — typically up to 26 months for Google Analytics 4.

7. International transfers

Some of the providers we use (for example Google, and certain reviews-widget providers) may transfer data outside the UK. Where they do, we rely on safeguards approved under UK GDPR — including the UK International Data Transfer Agreement, the UK Addendum to the EU Standard Contractual Clauses, or transfers to countries the UK government has deemed adequate.

8. Your rights

Under UK GDPR, you have the right to:

  • Access the personal information we hold about you
  • Rectification — ask us to correct anything that’s wrong
  • Erasure — ask us to delete your personal information, in certain circumstances
  • Restriction — ask us to limit how we use it
  • Object to how we use it
  • Data portability — receive it in a portable format
  • Withdraw consent at any time, where we rely on consent

9. Cookies

This website uses cookies. Some are strictly necessary for the site to work; others help us understand how the site is used or deliver marketing.

When you first visit the site you’ll see a cookie banner. You can accept all, decline non-essential, or set your preferences. You can change your mind at any time by clicking Cookie Settings in the footer.

Categories we use:

  • Strictly necessary — site navigation, form submissions, cookie consent state. Always on, no consent required.
  • Analytics — Google Analytics or similar. Used to understand how visitors use the site so we can improve it.
  • Marketing — if and when applicable (e.g. Meta Pixel for advertising).
  • Preferences — remember choices you’ve made (like accepted cookie categories).

10. Children

Our website is not aimed at children under 13, and we do not knowingly collect personal information from anyone under 13. If you believe a child has provided information to us, please email houghtonhall@roaminthepark.uk and we’ll delete it.

We may update this policy from time to time. The current version is always live on this page, with the last-updated date shown at the top.

If we make significant changes that affect how we use your information, we’ll let you know — either by email (if you’ve shared one with us) or a prominent notice on the website.
